How to Fill In a Timesheet

  1. Write the employee name, ID and pay period at the top.
  2. For each day, write the time in, the time you left for lunch, the time you came back and the time out.
  3. Write any other unpaid break in minutes.
  4. Work out each day: (lunch out − time in) + (time out − lunch in) − other unpaid breaks.
  5. Add the days together in hours and minutes, then convert the total to decimal hours.
  6. Sign and date the timesheet, and ask your supervisor to sign it.

Example: 8:00 AM to 12:00 PM is 4:00 and 12:30 PM to 4:30 PM is 4:00, so the day is 8:00 (8.00 decimal hours). Minutes are not decimals: 7 hours 45 minutes is 7.75 hours, not 7.45. The minutes to decimal hours chart lists every minute.

Excel Timesheet With Automatic Totals

The Excel template does the arithmetic. Type times such as 8:00 AM or 16:30 in the yellow cells, and it shows:

  • each day’s hours in H:MM and decimal hours
  • a total for each week and for the pay period
  • regular and overtime hours, using the weekly overtime threshold you set (for example, over 40 hours)
  • estimated gross pay before tax, if you add an hourly rate and overtime multiplier

A time out earlier than the time in is read as a shift that ran past midnight. The template applies one weekly overtime rule; for daily overtime as well, use the online Timesheet below.

Prefer Not to Do the Math?

The Timesheet in the Work Hours Calculator does all of this in your browser: 7-day, 14-day or custom pay periods, several work periods a day, daily and weekly overtime rules, a printable timesheet with signature lines, and CSV export. To turn overtime hours into pay, use the Overtime Calculator.
