Use this work hours calculator as a time card calculator: add up the clock-in and clock-out times from your time clock, take out unpaid lunch breaks, and see daily, weekly and pay-period totals in hours and minutes plus decimal hours. Open the Timesheet tab for a 7-day, 14-day (biweekly) or custom pay period you can print or export.
Quick Weekly Work Hours Example
If you work 9:00 AM to 5:30 PM Monday through Friday with a 30-minute unpaid break each day, you work 8 hours per day and 40 hours for the week. Enter each day in the calculator above to keep the daily totals, weekly total and decimal hours together.
How to Use the Work Hours Calculator
Use the Work Hours Calculator to total your daily and weekly working hours, build a timesheet and calculate longer pay periods. Enter your work periods for each day and SumHours calculates the daily totals and complete period total automatically.
You can use a simple weekly view, create a one- or two-week timesheet, choose a custom pay period, or use the roster tools for planned and actual work schedules.
Calculate Daily and Weekly Work Hours
Add the start and end time for each work period. If you leave work and return later, enter another work period so only the time you actually worked is included.
Example:
- 8:00 AM to 12:00 PM = 4 hours
- 12:30 PM to 4:30 PM = 4 hours
- Daily total = 8 hours
The 30-minute gap is not counted as worked time.
Time Card Calculator With Lunch Breaks
There are two ways to take an unpaid lunch out of a day. Enter one work period and put the lunch in Unpaid break (minutes), or enter two work periods, before and after lunch, and leave the gap. Use one method, not both, or the lunch is taken off twice.
Example: clock in at 8:00 AM and clock out at 4:30 PM with a 30-minute unpaid lunch = 8:00 worked (8.00 decimal hours). Entering 8:00 AM–12:00 PM and 12:30 PM–4:30 PM as two work periods gives the same total.
You can type times from your time clock or punch report in 12-hour format (8:00 AM, 4:30 PM) or 24-hour military format (08:00, 16:30).
Weekly Hours Example With Different Shifts and Breaks
Calculate each day’s elapsed time, subtract its unpaid break, then add the worked minutes. This example uses one work period per day, unpaid breaks in minutes (as the calculator’s break field takes them), and no overtime or rounding rule.
| Day | Shift | Break (min) | Hours |
|---|---|---|---|
| Mon | 08:00–16:30 | 30 | 8:00 |
| Tue | 09:00–17:00 | 30 | 7:30 |
| Wed | 08:15–16:45 | 45 | 7:45 |
| Thu | 07:30–16:00 | 30 | 8:00 |
| Fri | 09:00–15:30 | 30 | 6:00 |
| Total | 37:15 |
The worked total is 2,235 minutes: 480 + 450 + 465 + 480 + 360. Divide by 60 to get 37.25 decimal hours (37 hours 15 minutes). Enter the same times and breaks in the Weekly calculator above to check the result. To print the week or download it as CSV, enter it in the Timesheet tab, which keeps its own dated record.
If you enter lunch as a gap between two separate work periods, do not subtract the same lunch again as an unpaid break: the gap is already outside the worked periods. SumHours adds the original minutes and converts to decimal hours only at the end, so the total does not drift the way adding rounded daily decimals can.
Weekly and Biweekly Timesheet Calculator
The Timesheet view is designed for people who need more than a single-day calculation. Enter work times across the pay period and SumHours keeps a running daily, weekly and total-hours summary.
You can use:
- 7-day timesheets
- 14-day (biweekly) timesheets
- custom pay periods of up to 31 days
- multiple work periods per day
- overnight work periods
- custom week-start settings
Time Card Calculator for Multiple Work Periods
A time card often contains more than one clock-in and clock-out period per day. SumHours can total these periods without counting the gaps between them as worked time.
For example:
| Work Period | Worked Time |
|---|---|
| 7:00 AM–11:00 AM | 4:00 |
| 11:30 AM–3:00 PM | 3:30 |
| 3:15 PM–5:00 PM | 1:45 |
| Total | 9:15 |
Custom Pay Periods
Not every timesheet follows exactly one calendar week. Use the custom pay-period option when your work record covers a different date range.
SumHours calculates the individual daily totals, weekly subtotals and overall pay-period total so you do not need to add each day manually.
Time Card Calculator With Overtime
Open the Timesheet tab to split regular and overtime hours. Set a daily threshold (for example, hours over 8 in a day), a weekly threshold (for example, hours over 40 in a week), or both, with one multiplier such as 1.5. Each day then shows its regular and overtime hours, and an hour is never counted as overtime twice. To turn overtime hours into pay at time and a half, double time or a custom rate, use the Overtime Calculator.
Overtime Hours
If you need to separate regular and overtime hours, use the custom overtime settings and enter the threshold and multiplier that apply to your situation.
SumHours does not automatically decide which overtime law applies to you. Overtime requirements can vary by employer, contract and jurisdiction, so use the rule that applies to your workplace.
Estimated Gross Pay
Where hourly pay is enabled, SumHours can combine your calculated work hours with your hourly rate to estimate gross earnings before taxes, deductions and benefits.
This is a mathematical pay estimate rather than payroll, tax or employment-law advice.
Print or Save Your Timesheet as PDF
When your timesheet is complete, choose Print timesheet / Save PDF to create a clean work record using your browser’s print system. If you would rather fill one in by hand, download a free printable timesheet template (PDF or Excel).
Optional timesheet details can include information such as employee name, employee ID, department or project where supported. These details are not required to calculate your hours.
Download Work Hours as CSV
Use the CSV export when you need your work-time data in a spreadsheet-friendly format. CSV files can be opened in programs such as Microsoft Excel, Google Sheets and other spreadsheet software.
Work Hours and Decimal Hours
SumHours shows work totals in hours and minutes and, where applicable, decimal hours.
| Hours and Minutes | Decimal Hours |
|---|---|
| 7:15 | 7.25 |
| 7:30 | 7.50 |
| 7:45 | 7.75 |
| 8:30 | 8.50 |
